D!NK Scotland Kids MTB Club – Booking Terms & Conditions
Please read the following terms carefully before booking with Dink Scotland. By completing a booking, you confirm that you have read, understood, and accepted these terms and conditions in full.
We are committed to treating everybody fairly and with respect. If you have any questions about these terms, please don’t hesitate to get in touch. In the following conditions, ‘we’ or ‘the club’ refers to Dink Scotland Kids MTB Club, and ‘you’ refers to the parent, guardian, or responsible adult making the booking on behalf of a young participant.
BOOKING When you make a booking, you confirm that you have the authority to accept these terms and conditions on behalf of your child or the young person in your care. A contract will exist as soon as we issue a booking confirmation and a deposit or full payment has been received. We will confirm your booking by email. This contract is governed by Scottish law.
MINIMUM NUMBERS The minimum number of participants for a scheduled group session or course is 4. If this minimum is not reached within one week of the session start date, we reserve the right to cancel. In this event, we will not be liable for any additional costs you may have incurred. Where minimum numbers are not met, we will either:
- Provide a full refund of all monies paid
- Offer an equivalent session on an alternative date
- Amend the session by mutual agreement
- Agree an alternative suitable activity (additional charges may apply depending on published prices)
CANCELLATION BY YOU
We offer two types of session: Saturday Club and Week-long Courses. Different cancellation terms apply to each, as set out below. If you are unsure which applies to your booking, check your booking confirmation or contact us before booking.
Saturday Club Sessions
Saturday Club sessions are individual or block-booked Saturday sessions. Because these are shorter-commitment bookings, we apply a straightforward cancellation policy.
All cancellations must be submitted in writing — via email or WhatsApp message — and are subject to the following:
- Cancellation more than 48 hours before the session: you may choose a full refund or a free transfer to another available session.
- Cancellation within 48 hours of the session: no refund is given. We will offer a one-time transfer to another session within the same block, subject to availability. Transfers must be requested at the time of cancellation and cannot be carried forward indefinitely.
- Non-attendance without notice (no-show): no refund and no transfer will be offered.
Note on block bookings: If you have purchased a block of Saturday Club sessions, the above policy applies to each individual session within the block. Unused sessions at the end of a block are non-refundable unless a session is cancelled by us.
Multi Day and week-long Courses
Multi Day and Week-long Courses are intensive multi-day programmes (typically running Monday to Friday or across consecutive days). Because places are limited and planning commitments are greater, a stricter cancellation policy applies.
All cancellations must be submitted in writing and are subject to the following:
- Cancellation more than 2 weeks before the course start date: 50% of the total course fee is refunded. The remaining 50% is retained to cover planning, staffing, and venue costs already committed.
- Cancellation within 2 weeks of the course start date: no refund is given. We will endeavour to offer a transfer to an equivalent course in the same season where one is available, but this cannot be guaranteed.
- Non-attendance without notice (no-show): no refund and no transfer will be offered.
We strongly recommend that families booking Week-long Courses take out appropriate personal cancellation insurance, particularly where travel or accommodation has been arranged. Dink Scotland cannot be held responsible for costs arising from third-party arrangements — see the Third Party Arrangements clause.
Applying to Both Session Types
The following apply regardless of which session type you have booked:
- We will always endeavour to accommodate changes where possible, though we cannot guarantee this in every case.
- Where a cancellation results in minimum numbers not being met, the provisions of the Minimum Numbers clause apply.
- If we cancel a session for any reason — including weather, safety, or circumstances beyond our control — you will be offered a full refund or a transfer to an alternative date. See Cancellation by Us and Force Majeure clauses.
- Refunds, where applicable, will be processed within 10 working days of the cancellation being confirmed.
CANCELLATION BY US We will make every effort to avoid cancelling a session. In exceptional circumstances beyond our control, we may need to do so. In such cases, you will receive a full refund or the option to transfer to a suitable alternative session. We cannot be held liable for any additional expenses you may have incurred as a result of a cancellation by us.
Force Majeure: We will not be liable to offer refunds or compensation where cancellation or significant changes are caused by circumstances beyond our control, including but not limited to: severe weather, fire, flooding, pandemic, industrial action, or other unforeseeable events.
THIRD PARTY ARRANGEMENTS We are not liable for any losses, damages, or inconveniences arising from travel, accommodation, or other third-party arrangements made in connection with your child’s attendance at a Dink Scotland session. Should your child be unable to attend due to third-party issues, we are under no obligation to offer a refund or transfer.
INSURANCE All participants are strongly recommended to be covered by adequate personal insurance. Any policy should ideally cover activity participation, personal accident, medical expenses, and cancellation. Dink Scotland’s public liability insurance covers club-organised activities only and does not extend to personal belongings, travel, or privately arranged activities.
LIMIT OF OUR LIABILITY Our liability to you is limited to the total cost of the session or course booked. We accept no responsibility for loss or damage to personal belongings, clothing, or equipment. We are not liable for any failure to deliver a session where this is due to:
- The actions of a participant or parent/guardian
- The actions of a third party unconnected with Dink Scotland
- Circumstances beyond our control that were not reasonably foreseeable
- Theft or damage to bicycles, or injury sustained during riding or transit
MEDIA & PHOTOGRAPHY Photography and video may be captured during sessions by Dink Scotland coaches or approved volunteers for the purpose of club promotion, social media, and coaching records. Given that Dink Scotland is a children’s club, we take the use of media involving young people extremely seriously.
- We will never publish identifiable images of children without prior written consent from a parent or guardian
- A media consent form must be completed at the time of registration and reviewed annually
- If you withdraw consent at any time, please notify us in writing and we will ensure no new images of your child are used publicly going forward
- In group settings, it may not always be possible to exclude one child from all photography, but we will make every reasonable effort to do so where consent has been withheld
- Coaches and volunteers must never take personal photographs of participants on personal devices
BIKES & EQUIPMENT Participants are expected to arrive with a bike that is safe, roadworthy, and appropriate for their age and size. Coaches reserve the right to exclude a participant from riding if their bike is deemed unsafe, further to this no refund will be given.
You are responsible for ensuring:
- Your child’s bike is in good working order before every session
- Any defects or concerns are reported to a coach before the session begins
- Helmets and any other required safety equipment are brought to every session
YOUR RESPONSIBILITIES AS A PARENT OR GUARDIAN Mountain biking is an active outdoor sport that carries inherent risks. By booking, you acknowledge and accept this. It is your responsibility to ensure:
- Your child rides within their ability at all times — coaches will support this, but ultimate responsibility for knowing your child’s limits rests with you
- Your child wears an approved, properly fitted helmet at every session — this is non-negotiable and failure to comply will result in exclusion from riding
- You have disclosed any relevant medical conditions, medications, allergies, or additional support needs at the time of booking and that this information is kept up to date
- Your child understands and agrees to follow the instructions of coaches at all times
- Your child behaves respectfully toward coaches, fellow riders, and the environment
Dink Scotland reserves the right to remove any participant from a session whose behaviour is deemed unsafe, disruptive, or detrimental to the wellbeing of others. No refund will be issued in these circumstances.
You commit to punctual drop-off and collection at the agreed times and location. Any persistent late collection may affect your child’s place at the club.
MEDICAL & HEALTH INFORMATION You must confirm at the time of booking that your child is fit to participate in mountain biking activities. It is your responsibility to:
- Disclose any medical conditions, injuries, or physical limitations that may affect participation
- Inform us of any medication your child takes and whether they may require it during a session
- Update us promptly if your child’s health circumstances change
- Ensure your child is appropriately fuelled, hydrated, and dressed for outdoor activity
Dink Scotland coaches are not medical professionals. In the event of an accident or medical emergency, we will act in the best interests of the child and contact the emergency services and the parent/guardian as appropriate.
AGE & PARTICIPATION Dink Scotland is a children’s MTB club and all sessions are designed and delivered specifically for young riders. All bookings must be made by a parent or guardian. The club caters for riders within the stated age groups as published on our website and registration materials.
- Bookings cannot be accepted directly from minors
- A parent or guardian must be contactable at all times during sessions
- For specific sessions where parental attendance is required, this will be clearly communicated at the time of booking
- If you are unsure whether a session is suitable for your child’s age or ability, please contact us before booking
